We are currently seeking a dynamic and detail-oriented Logistics Coordinator to join our team. The ideal candidate will play a pivotal role in connecting all departments and facilitating seamless coordination of logistics-related activities for our equestrian events.

Responsibilities:

1. Centralized Coordination:

– Serve as the central point of contact for all logistics-related inquiries and coordination, liaising between various departments including operations, marketing, finance, and external stakeholders.

– Facilitate effective communication and collaboration among departments to ensure alignment of logistical activities with overall event objectives and timelines.

2. Visa and Travel Assistance:

– Assist event participants, officials, and staff with visa applications and travel arrangements, providing guidance on visa requirements, documentation, and processing procedures.

– Coordinate with relevant authorities, embassies, and travel agencies to expedite visa processing and ensure smooth travel logistics for international attendees.

3. Document Management:

– Receive and organize incoming documents, including contracts, agreements, and permits, and distribute them to the appropriate departments in a timely manner.

– Maintain accurate records and documentation, both electronic and hard copy, to facilitate easy retrieval and reference for all concerned parties.

4. Logistical Support:

– Provide logistical support for event planning and coordination activities, including venue logistics, transportation, accommodation, and equipment requirements.

– Coordinate with vendors, suppliers, and service providers to secure necessary logistics support and negotiate favorable terms and pricing.

5. Inventory Management and Procurement:

– Manage inventory of event supplies, materials, and equipment, and oversee procurement activities to ensure adequate stock levels and timely replenishment.

– Source and procure necessary logistics resources, including rental equipment, temporary structures, and consumables, while adhering to budgetary guidelines.

Qualifications:

– Proven experience in logistics coordination or event management, with a strong understanding of logistical principles and practices.

– Excellent organizational and problem-solving skills, with the ability to prioritize tasks and manage multiple projects simultaneously in a fast-paced environment.

– Strong attention to detail and accuracy in logistical planning, execution, and documentation.

– Proficiency in using logistics management software and tools, as well as Microsoft Office Suite.

– Excellent communication and interpersonal skills, with the ability to build and maintain positive relationships with stakeholders at all levels.

– Flexibility to work irregular hours, including evenings and weekends, as required during event periods.

– Knowledge of equestrian sports and events is desirable but not mandatory.
