RINA is currently recruiting for a UAE Energy Maintenance Project Support Advisor to join its office in Abu Dhabi within the Energy Engineering Solutions Division.

Mission

The Project Support Advisor is responsible to oversee the management and integrity of documentation processes. The Project Support Advisor will implement and maintain efficient document control systems, ensuring that all records are accurately filed, securely stored, and readily accessible. By ensuring compliance with company policies and industry regulations, Project Support Advisor will play a crucial role in supporting our operational excellence and facilitating smooth information flow across the organization.

Key Accountabilities

  • Implement and maintain document control processes to ensure all documents are accurately filed, updated, and easily retrievable. Manage both physical and electronic document storage systems.
  • Receive, review, and distribute incoming and outgoing documents. Ensure that all documents are correctly numbered, stamped, and logged according to company standards.
  • Ensure all documentation adheres to company policies, industry standards, and regulatory requirements. Perform regular audits to verify document control practices.
  • Collaborate with project teams, departments, and external stakeholders to ensure timely and accurate distribution of documents. Facilitate document reviews and approvals as required.
  • Maintain accurate records of document revisions, approvals, and distribution. Track and manage document expiration dates and renewal requirements.
  • Monitor and ensure the accuracy and completeness of documents. Address and resolve any issues related to document quality or discrepancies.
  • Manage and update the document control system or software, ensuring it remains effective and user-friendly. Provide support and training to staff on document control procedures.
  • Prepare reports and summaries on document control activities and compliance status. Provide insights and recommendations for process improvements.

Education

Bachelor’s Degree in Business Administration Finance Management

Qualifications

Minimum of 5 years of experience in document control, records management, or a similar role. Experience in Oil & Gas Industry is preferred.
Strong organizational and time-management skills, attention to detail, and proficiency in document management software and Microsoft Office Suite. Excellent communication and interpersonal skills.

 

Ability to work independently and as part of a team, manage multiple tasks simultaneously, and adapt to changing priorities in a fast-paced environment.
