Objective is to work in very close coordination and direct reporting with the Vice President Sales to manage the operation of the sales administration, leads, brokers, contracts, sales files, and the sales centre general welfare. With  close coordination between Customer Service, Residential Delivery, Asset management, Finance and Legal; and to eliminate operational gaps and  To manage the Sales Centre’s administrative requirements & tasks allotted by the VP sales.



Operational Responsibilities:

    • Process Management of design and pricing approvals
    • Compilation of sales pricing document for board approvals
    • Freezing of price and design after board approvals
    • Proceed with Pre-Launch processes when instructed

 Pre-Launch Process:

    • Production of data following the board approval.
  • Preparation of SPA templates that includes SPA, reservation document, payment schedule, schedules A, schedule B, marketing floor plans, and schedule of finishes. Documents will be provided in coordination with   Legal, Finance, Delivery and Asset Management departments.
    • Executive management sign off for all document templates.
    • Test and confirm data correctness in system
    • Pre-printing of contract folder to best quality

Issuance of MoT launch notification letter

Post Launch Process:

    • Sign off on consummated SPA, reservation documents, receipts and other buyer details as files received from Sales Consultants.
    • Obtaining MOH approvals, if required.
    • Coordinate and obtaining legal & finance sign off and authorized signatory on SPA.
    • Switch sold properties to “SOLD” into system once signed
    • Handover over signed SPAs to the buyers and maintain a log.
    • Handover the TWM signed SPA to CS and maintain a log


Administration of Supplemental Agreement:

    • Internal & External including liaison with Banks in processing of supplemental agreement.
    • Maintain and update the supplemental agreement logger.

Post Sales: Concessionary / Resale agreements:

  • Coordinate processing the re-sales requests with CS, AM, Finance and MOH, if required.
  • Preparation of new re-sale agreements.
  • Payment of re-sale fees & clearances.
  • Document signoff by TWM authority.
  • Manage a log keeping of sales car keys & sales car cleanliness
  • Manage a log keeping of Sales centre building keys
  • Manage a log keeping water supplies, dates and coffee
  • Manage a log keeping of flowers suppliers & track contract renewal
  • Organize staff holidays chart for the sales centre
  • Maintains the requisitions, the stationary  of the sales centre
  • Manage the sales centre procurement requirements into system
  • Issue petty cash memos for finance issuance
  • Coordinates with IT on required IT maintenance for printers, PCs & TV   panels
  • Minute of sales meetings and give back up support
  • Manage sales staff commission pay-outs and keep track of it
  • Coordinates terminated units files and reinstating procedures in conjunction with credit control
  • Organize the files that need initialing
  • Insure that the show properties are in good standards at all time in terms cleanliness & general appearance coordinating the requirements with the concerned departments


Sales Leads Responsibilities:


  • Receive the leads from the marketing dept., the call centre and CRM system and check, qualify and dispatch to sales consultants in coordination with sales managers.
  • Insure that leads get handled instantly and efficiently by the checking quality of feedback and coordinate the sale with the sales managers
  • Insure accurate and correct database is entered into the system.
  • Calculate management report and revert back to the VP sales on qualified and disqualified leads and the conversion ration
  • Work and coordinate with the IT dept. in getting the CRM system for leads running according to the required level. 

Brokers & agency Responsibilities:


  • Compile agreements and serve as custodian to all brokers agreements
  • Fill out the agreements for the new approved agents for the Company and gain VP approval on the criteria and the agreement.
  • Maintain an accurate data of brokers with for each market
  • Insure that all requirements and related information to the hired brokers are filed accurately and managed well.
  • Renew the agency agreements after gaining approval
  • Communicate with brokers and survey their faced issues encourage them to send leads
  • Send in coordination with VP sales and marketing periodical mailers to brokers to keep them active and running
  • Communicate promotions and launches to brokers to encourage them to send business leads



Managerial Responsibilities:


  • Performance management of teams activities and customer interactions
  • Plan, prepare and devise work schedules, according to current and future workload.
  • Ensure that all procedures developed & implemented are in line with The Wave policies and duly executed.
  • Plan and set SMART objectives for your respective team to ensure the KPI’s for the department are met.
  • Monitor and report on monthly performance, initiating remedial action where required, to ensure we deliver against target
  • In depth understanding of department processing priorities and manage resources accordingly to deliver against the set priorities. 
  • Ensure that all projects and tasks are delivered against CRM and general business targets with specific attention to detail.
  • Work closely with other Internal Departments including legal, credit control, FM, projects and sales facilitating and assisting your team members to obtain information to resolve task related issues.
  • Ensure that all monthly and periodic reports as required by management are provided within the prescribed time and to the standards prescribed.




  • Responsible for verifying and compiling reports daily on information received from the Executives with management reporting as required.
  • Responsible for compiling reports, analyzing data collected and providing management with consolidated reports for the team covering all tasks and assignments handled
PERSSON SPECIFICATION: Minimum competencies to be effective on the job
Education & Experience
  • Bachelors in Sales, marketing or any related field
  • 5 Year experience working in a result driven service industry ideally from property, development or FM background.
  • Experience of working against set targets, service levels and quality levels.
