Receptionist – SPARK Job Summary:

Receptionists are the gatekeepers of an organization, creating a positive first impression for visitors and acting as a central hub for communication, handling administrative tasks, providing customer service, and ensuring the smooth operation of the office. This role reports into the Contracts and Admin Manager Saudi Arabia & Bahrain.

In This Role, Your Responsibilities Will Be:

  • Greet and welcome visitors warmly, ensuring they are provided with instructions on emergency evacuation procedures.
  • Announce visitor arrivals promptly and handle them in an efficient, courteous, and professional manner, maintaining a positive impression of the company.
  • Prepare visitor badges and maintain accurate visitor records for security purposes.
  • Schedule meetings by coordinating appropriate times, booking meeting rooms, and arranging refreshments as required.
  • Answer incoming calls and direct them to the appropriate individuals or departments.
  • Handle the dispatching and processing of shipment requests efficiently.
  • Provide internet access to visitors as needed.
  • Support the Administration Department in issuing visit visas when required.
  • Keep the reception area clean, organized, and presentable.
  • Order office supplies to ensure smooth operations.
  • Assist in event coordination by providing necessary bookings, reservations, and arrangements.
  • Facilitate external meeting space reservations for employees, such as in hotels.
  • Provide building and facility tours for new joiners as necessary.
  • Coordinate office space allocation with managers for newcomers.
  • Issue vehicle stickers to eligible employees.
  • Manage car bookings and transportation arrangements for employees and visitors as vital.

Who you are:

Excellent written and verbal communication skills

For this Role, You Will Need:

Proficiency in Microsoft Office applications, including Word, Excel, and Outlook
