Your Opportunity  

We are currently bidding for a prestigious new project in NEOM, Saudi Arabia and we are looking to hire a Project Coordinator who will Maintain comprehensive project filing and records system including documentation, contracts, plans, reports, and compliance data, ensuring they are valid and accessible.

 

Our client is responsible for Facilities Management (FM) delivery across Neom Sindalah Island. This key role within the Managing Partner (MP) team (the delegated authority) is required to ensure effective coordination and a seamless flow of communication. The candidate will be a highly organised team player and the position is essential for contributing to the highest standards of collaboration and operational excellence, directly contributing to the success of the Ultra Luxury Sindalah Island.

 

The purpose of this role is to deliver comprehensive coordination in support of the MP function. This involves managing a range of contract administration tasks, document control, reporting, and any additional support required in maintaining project controls. The candidate will contribute to the seamless operation of the contract, catering to a client with exceptional standards demanding the highest level of service delivery in one of the most ambitious development projects globally.

  

The ideal candidate should have good time management, organisational and strong analytical and strategical skills.

 

The hiring for this position is still subject to contract award.
 

Key Accountabilities

  • Ensure a friendly, efficient, and courteous service is provided to both internal and external customers always demonstrating exceptionally high standards of service.
  • Coordinate the resolution of issues and queries arising from FM, HSE, and Quality functions in a timely and efficient manner
  • Support the FM team as required in the oversight of daily facilities operations, including maintenance and cleaning
  • Assist in compiling risk assessment data and distribute corrective actions in a timely manner
  • Support the implementation of FM and HSE policies and Quality standards
  • Assist in delivery of training programs for project staff
  • Coordinate and assist the HSE lead in preparation, delivery and reporting on all matters related to incidents and emergencies as required
  • Maintain comprehensive project filing and records system including documentation, contracts, plans, reports, and compliance data, ensuring they are valid and accessible
  • Prepare and distribute regular project status summaries to stakeholders as required
  • Support the person responsible with collating and compiling weekly, monthly, and annual reports
  • Act as the central point of contact on site for general administration and coordination
  • Responsible for providing administrative support to the contract as assigned by the section lead including, but not limited to, the following:
  • Official letters, emails, reports, presentations etc.
  • Collation and compilation of timesheets for approval.
  • Stock maintenance, distribution and tracking for pantry, water, office supplies etc.
  • Travel and transport booking, scheduling, fuel consumption tracking etc.
  • Processing allowances, receipts, and other applicable costs.
  • Facilitate provision of access cards, name badges and other related needs of the employees in accordance with approved procedures.
  • Responsible for scheduling meetings and coordination of appointment diaries, filing system and records.

 

 

Specific Requirements

  • Minimum of three (3) years’ experience in a coordination and administration role in the GCC region.
  • Holder of a bachelor’s degree.  Business administration or related discipline preferred
  • KSA experience preferred.
  • Delivery focused individual with the ability to work in a self-sufficient manner.
  • Ability to demonstrate both good literacy and numeracy skills required for the role.
  • Possess strong PC skills including proficiency with MS Outlook, Word, Excel and Power Point applications.
  • Able to build strong working relationships.
  • Shows confidence in communication – English language is essential, written and verbal.
  • Customer focus with a drive to deliver exceptional customer service.
  • A dynamic, high-energy individual who can support several groups/sections within a contract,
  • Possess good communication skills and the ability to manage multiple tasks efficiently and work productively in a fast-paced, team-oriented environment.
  • Ability to maintain confidentiality in handling highly sensitive, confidential, and non-routine information.
