JOB BRIEF
The incumbent is accountable to ensure the efficient day-to-day operation of the office and support the work of management and other staff. They are also responsible for visas and ensuring company documents are done efficiently and in a timely manner.
ACCOUNTABILITIES:
Policies & Procedures:
- Adhere to all Zahrawi Policies & Procedures as applicable.
Responsibilities:
• Circulating LPO’s and contracts via e-mail to the concern Salesperson
• Forwarding email to concern department coordinator for updating product delivery schedule
• Maintaining all customer contract copies • Manage and Sort incoming mail, faxes, and courier deliveries for distribution
• Purchase, receive and store the office supplies ensuring that basic supplies are always available
• Assisting Finance department for any documentation requirement
• Scanning all Necessary Documents (Scanning documents for all divisions)
• Handing courier and other services to run office smoothly.
• Maintain record for all outgoing and incoming documents
• Maintain and filing of office files and documents
• Arranging all documents for Signature for UAE & Qatar and tracking of the documents
• Answers incoming telephone calls, determines purpose of calls, and forward calls to appropriate personnel or department

Renewing tenancy contracts for the company office and warehouse
• Updating the trade license details in the in Ministry of Labor and Immigration website.
• Receiving regular updates on all work and migration standards from the government offices and informing the HR Department of any changes in the procedures and rules.
• Responsible for issuing the Visa, Labor Card for any new hires.
• Scheduling staff’s visa and medical tests and coordinating with internal and external departments to ensure they are done in a timely manner.
Responsible for hotel booking and air tickets reservations in Oman.
Update PASI records and do the payments on time.
• Managing the renewals of all Employment Visas and Labor Permits as per Trade licenses efficiently and in a timely manner.
• Responding to staff queries on Visa/ Labor/ Passport related matters.
• Ensuring all visas, medical and labor permits are up to date and arranging the renewals before the expiry.
REQUIREMENTS
- Education: Bachelor’s degree
- Additional details:
- Candidate should be based in Oman
- Experience: 2 – 3 years of experience
