To undertake the duties of Manager, Inpatient Rehabilitation Services by providing direction, instructions guidance and leadership to Physiotherapists, Occupational Therapists and Therapy Caregivers for the purpose of achieving department goals. Leading and managing a therapy team to provide evidence based, clinical care as per established standards of care. To provide specialist Occupational Therapy/Physiotherapy services as defined by the Department of Health, Abu Dhabi (DOH), Scope of Practice for the registered Occupational Therapist / Physiotherapist and NMC ProVita International Medical Center LLC (NMC PIMC) Policies and Procedures. Provide this service with a caseload of complex cases as an autonomous practitioner, demonstrating high-level problem solving and clinical reasoning skills, and independence in judgement.
Responsibilities
- To lead and manage the team including assisting in the management of recruitment, supervision, appraisal, personal/career development, absenteeism and competencies.
- Responsible for the day to day activities of the department.
- Coordinate leave requests (annual, education, sickness), ensuring adequate staffing and coverage within the department.
- Provide input to payroll – responsible for the signing off of monthly timesheets, reviewing all absenteeism.
- Ensure that the team completes required documentation, including client records, service reports and administrative paperwork thoroughly and in a timely manner.
- Ensure an effective and efficient service by reviewing rehabilitation reports, initial assessments, interventions, discharges, record keeping, clinical reasoning, decision making, equipment and insurance approvals.
- Actively involved in the formal orientation program for new joiners; ensuring completion of all job specific competencies and online learning modules of new staff.
- Assess the performance of staff and give guidance on their developmental and training needs, using the Oracle Performance Management System. Highlight performance management issues to the Senior Manager. • Defines and oversees the orientation, education, credentialing, and continuing development of licensed and unlicensed staff involved in providing patient care and other services.
- To prepare budget estimates in collaboration with the Senior Manager and the Director of Rehabilitation Services to ensure that expenditure remains within budget allocation and that the annual budgets are achieved.
- Responsible for managing the department’s petty cash – promoting cost effectiveness
- Provide accurate and timely information, performance management reports and insurance or other third party reports as necessary. Use this information to monitor service provision and improve service delivery.
- Coordinate delivery of care with the multi-disciplinary team by attending multidisciplinary team meetings, family meetings, Doctors huddles and weekly rehabilitation meetings.
- Coordinate discharge planning, home accessibility and equipment.
- Responsible for the submission of all equipment requests to the RCM department and following up on the approvals and rejections. • Participate in interdisciplinary committees and other activities within the facility.
- Participate in the organization’s quality improvement and safety activities.
- Develop key performance indicators to monitor service delivery within the department against these indicators and submitting quarterly reports.
- Development and reviewing of all departmental policies and forms.
- Actively prepare and participating in on-site surveys and audits, including international accreditations i.e. CARF, JCIA
- Estimate needs for facilities, supplies and equipment.
- To manage inventory levels within the department, through delegation to designated staff; keeping detailed records of inventory use and requirements.
- Manage conflict across a range of situations, including the resolution of informal and formal complaints, which may involve diffusion of hostility and aggression including staff and patients; address patient and family complaints in a timely manner.
- To appropriately respond to adverse incidents within the rehabilitation services department by filing the occurrence incidence report, in line with the facility policies and procedures.
- To communicate regularly with the Senior Manager and provide input and updates related to the rehabilitation services department.
- Provide quarterly reports to Senior Manager i.e. achievements, challenges, new developments, etc.
- Ensure that all staff are aware of, and comply with, relevant health and safety legislation, ensuring that health, safety and security standards are met in the department at all times. To undertake risk assessments and implement action to reduce risk.
- In collaboration with the Senior Manager – Rehabilitation Services, motivate the Rehabilitation team and organize team building activities. • Acts as a role model, mentor, and coach to the rehabilitation staff.
- Demonstrates competency in leadership skills, work and service.
Qualifications
- Bachelors Degree in either OT, PT or SLP
- Management Experience or Team Lead/Senior Therapist
- 8 or more years of clinical experience
- DOH and Home country licensure
- Excellent English language skills, Arabic would be an advantage
