RESPONSIBILITIES
Main Duties:
- To support the Senior Manager – Operations in maintaining an accurate record of assets across Charter schools and in the annual audit of asset registers.
- To ensure school compliance with contractual deliverables as per the ADEK contract and quality assuring submissions as outlined in the Assets Management Policy that is contractually binding.
Specific Duties:
General Operations:
- Develop and implement asset management policies and procedures to ensure optimal utilization and longevity of school assets
- Conduct regular inspections of schools to quality assure the accuracy of asset registers.
- Lead on the disposal of all assets from schools in coordination with ADEK’s Charter School Assets Management team.
- Develop and manage budgets related to assets in Charter Schools.
- Collaborate with school OM and SLT to understand asset needs and priorities, and provide support and guidance as required.
- To be the focal point for ADEK for all matters related to assets management across the Charter Cluster and the liaision with the third party auditors that inspect schools on an annual basis during the summer period.
- To develop and deliver training plans for existing and new joiners with a focused emphasis on asset management, addition, disposal, etc.
- Submit a consolidated monthly assets register to ADEK for each school and address all comments or findings raised by the client
Finance, Commercial & Procurement:
- To assist the Senior Manager – Operations in quality assessing assets requirements across the cluster.
- Oversee relationships with external vendors and service providers involved in asset maintenance, repair, and procurement
- Assess potential risks related to asset ownership, including security threats, regulatory compliance, etc.
- To provide input on any costs related to compliance, licensing, training and procurement of additional goods/services.
- Ensure Delegation of Authority processes and procedures are followed at all times.
Relationship & Stakeholder Management :
- Embrace and encourage the ethos and standards of excellence as defined in the Aldar Education core values.
- Support Senior Manager – Operations in ensuring that assigned cluster is fully compliant with local government authority regulations to safeguard against fines of any nature as a result of non-renewal of contracts at school level.
- Support Senior Manager – Operations in ensuring all internal and external audits are effectively managed and that actions arising from such audits are completed in a timely and appropriate manner.
- Understand the effects and implications of government policies, legislation and directives, developing effective strategies for current initiatives and long-term educational trends and developments.
Health & Safety Environment:
- To promote a positive and proactive health and safety culture throughout the support service teams.
- To support with environmental related aims and objectives and ensuring that they are delivered with the required timelines.
- To lead and support a culture of ‘no hurt, no harm’ through pro-active and pragmatic risk-based decision making.
- To promote and demonstrate a supportive and business focussed approach to the management of risk, with a solution-based mentality.
- To ensure adherence to all relevant Service Guidelines and Policies, developing and challenging where necessary.
- To drive and support the use of the Evotix system to ensure compliance in regard to incident management.
- Ensure all health, safety and environmental related inspections and audits are completed in line with the Aldar Education safety management system, using a supportive and coaching nature, helping to remove barriers, and promoting improvements in standards through teamwork.
QUALIFICATIONS
Minimum Qualifications:
- Bachelors (BCs) in business related subject (preferably finance or accounting)
Minimum Experience:
- At least 3 years experience in asset management surveying and reporting
Job Specific Knowledge & Skills:
- Advanced knowledge in Microsoft 365
- Fluent English communication skills, written and oral.
- Attention to detail with diligent follow up, and able to execute in a timely manner.
- Skilled in multi-tasking and handling pressure.
- Organizational ability.
- Good interpersonal skills.
- Initiate effort and energy beyond the typical work day, where the tasks require additional commitment.
