The Event & Government Relations Coordinator is responsible for efficiently managing government affairs, including visa, permit, and license processes, while concurrently planning and executing GSK’s events. This role demands exceptional organizational skills, meticulous attention to detail, and a comprehensive understanding of government regulations.

 

Key Responsibilities:

 

Government Affairs

  • Streamline visa processes for employees (residence, exit re-entry, final exit, etc.)
  • Proactively obtain, renew, and maintain essential permits and licenses (Chamber of Commerce registration, civil defense, etc.)
  • Facilitate efficient certification of company and employee documents through the Chamber of Commerce.
  • Stay abreast of legal changes, communicate updates to HR, and ensure timely submission of required documents to government authorities.
  • Secure necessary business visit visas for GSK visitors.
  • Manage and track GSK employee licenses (MOH, SOCPA, Saudi Council of Engineering).
  • Implement robust document management systems for government relations.

 

Event Management

  • Negotiate and manage contracts with vendors (hotels, restaurants, travel agencies) for successful event execution.
  • Oversee travel agency performance within the events management scope.
  • Coordinate and confirm medical event details with vendors, ensuring timely arrangements and payment processing.
  • Secure government approvals for medical conferences through the Saudi Convention & Exhibition General Authority.
  • Provide support for event-related accounting functions.
  • Maintain comprehensive event documentation and archives.
  • Review event invoices and initiate payment requests.

 

Skills and Qualifications

  • Bachelor’s degree in a relevant field
  • Saudi National required
  • Minimum of 2 years of experience in event management or government relations
  • Fluency in written and spoken Arabic and English
  • Strong computer proficiency
  • Exceptional organizational and time management skills
  • Attention to detail and accuracy
  • Proven ability to build and maintain relationships with government officials and vendors
  • Excellent communication and interpersonal skills
  • Ability to work independently and as part of a team
