Provide comprehensive administrative support to the Chief Education Officer and the Education Team, ensuring efficient management of schedules and communications

To develop and create efficient and effective systems which organise the protocols, schedules and processes involved in the day to day running of Aldar Education as a business entity.

To continuously strive to exceed internal expectations, while embracing the Aldar Education Core Values.

Responsibilities

Main Duties:

  • Prepares and schedules all meetings for the Chief Education Officer as requested.
  • Establishes filing system and records for all Education Department.
  • Compiles or coordinates the compilation of data, and prepares in the form of reports, analysis, tabulations, etc. Distributes data as instructed.
  • Drafts letters/memos and routine correspondence for supervisor’s signature. Screens outgoing correspondence before approval.
  • Arranges for meetings as instructed. Includes arranging conferences, visual aids and refreshments. May attend meetings to take minutes.
  • Supports the Chief Education Officer and the Education Team by taking meeting minutes, collating and filling all documentation.
  • Liaises with concerned personnel on all visa, travel and accommodation matters involving Divisional employees; circulating correspondence and periodicals as instructed etc

Specific Duties :

  • Ensures the smooth operation of the department by providing administrative and logistical support.
  • Translates necessary documents into Arabic and into English and to transfer all documents to Aldar Education branding templates.
  • Keeps meticulous records of data, transaction, invoices, and other documents created and required by the DoE.
  • Prepares and distribute correspondence, reports, and presentations as needed.
  • Supports with the organization of Schools Principals meeting. Calendar invites, presentation etc.
  • Liaises with procurement and finance to ensure charging mechanisms are in place for all Education Dept purchases.
  • Supports with the documentation pertaining to Aldar Education as directed to by the Chief Education Officer.
  • Monitors, maintains and updates information to all external and internal AE Education Dept business activity and systems as per directed by the Executive Director of Education.
  • Leads by example to maintain a high standard of professionalism at all times.
  • Supports with the development where necessary of Aldar Education business documents pertaining to Aldar Education invoicing, purchases, as directed by the Chief Education Officer.
  • Undertakes and carry out any other duty reasonably assigned.

Qualifications

Minimum Qualifications    
•    High School Certificate or bachelor’s degree

Minimum Experience    
•    At least 2 years experience in administration
