We are searching for an experienced Corporate Traveling Officer at our MSC Saudi Arabia – Ad Dammam facility.
Primary Duties and Responsibilities:
Key Responsibilities:
1. Coordinate all travel arrangements for employees, including flights, accommodations, ground transportation, and other logistical needs.
2. Research and identify the most cost-effective travel options while ensuring the comfort and convenience of employees.
3. Develop and maintain relationships with travel vendors, negotiate contracts, and secure discounts or special rates for corporate travel.
4. Provide assistance and support to employees regarding travel-related inquiries, including visa applications, travel insurance, and travel advisories.
5. Keep abreast of industry trends, travel regulations, and best practices to continuously improve the corporate travel program.
6. Prepare and distribute travel itineraries, including important details such as flight schedules, hotel reservations.
7. Track and manage travel expenses, reconcile invoices, and report on travel expenditure to management.
8. Collaborate with other departments, such as HR and Finance, to ensure compliance with company policies and procedures.
9. Handle any travel-related emergencies or disruptions, providing timely assistance and solutions to minimize disruptions to travel plans.
10. Maintain accurate records of travel-related data and generate reports as needed for analysis and decision-making purposes.
11. Serve the company visitors requiring visa assistance & invitation letters.
12. Research and understand the visa requirements and processes for visitors from different countries.
13. Contact MOFA, embassies, or visa service providers to facilitate the visa application process for visitors.
14. Prepare visitors plans, including information about local attractions, dining options, and any scheduled company-related activities.
15. Stay updated on visa regulations, travel advisories, and any changes in immigration policies that may impact visitor visa applications.
Required Qualifications:
Qualifications:
– Bachelor’s degree in Business Administration, Hospitality Management, or a related field.
– Proven experience in corporate travel management, preferably in the logistics or transportation industry.
– Excellent communication and interpersonal skills, with the ability to interact effectively with employees at all levels of the organization.
– Exceptional organizational skills and attention to detail, with the ability to multitask and prioritize tasks in a fast-paced environment.
– Proficiency in Microsoft Office Suite and other relevant software applications.
– Ability to work independently with minimal supervision, as well as part of a team.
– Flexibility to adapt to changing priorities and travel requirements.
