Procurement

 

  • Assist in the selection of appropriate suppliers and contractors, to promote good procurement practice with due regard to sustainability, ethical purchasing standards and costing
  • Draft an appropriate service level agreement to properly evaluate the performance of suppliers, and report on this on a regular basis.
  • Work with internal stakeholders (teachers or operations staff) to determine procurement needs, quality and delivery requirements.
  • Responsible for order placement timing, supply / demand alignment, material replenishment and supplier performance

 

 

CCAs

 

  • Coordinate with Teachers, HR team and ADEK Affairs Coordinator to ensure all CCAs and School trips/ events are approved by ADEK prior to its commencement dates, and ensure all required documentation is collated and submitted to ADEK for approval.
  • Liaise with the Director of Sports to ensure educational trips and special school events meet the school’s requirements
  • Provide support to lead event planner to ensure the efficient planning and delivery of events.
  • Coordinate with Director of Sports to ensure that all planned educational trips and events comply with both School and ADEK requirements.
  • Provide updates and accurate guidelines regarding best practice and/or any changes from the legislative procedure, ensuring that the school is in full compliance in delivering educational trips, visits and events.
  • Create and maintain effective CCAs lists/Wait lists for proper monitoring
  • Support lead trip organisers with documentations and logistics support i.e. booking buses, etc.
  • Oversee the CCA program time table and assist staff/parents with issues as they arise
  • Ensure up-to-date awareness on all legislation and best practice s in running educational trips, visits and events, and warrant all activities and events are within the required guidelines

 

 

School Bus Transport Support

 

  • Act as a liaison between bus transport service provider and support assistants ensuring all activities are in line with ADEK compliance, DoT requirements and School policies and procedures
  • Receive and record all incident reports and escalate for adequate resolution
  • Work with Operations Manager to deliver training and personal development plan for Support Assistants

 

Third Party Contractors

 

  • Manage and work alongside with third party contractor’s procurement and supply process efficiently and effectively
  • Meeting the NAE requirement in ensuring all legal documentation for third party contractors are recorded in Merill database
  • Organise child protection training for third party contractors
  • Ensure that all third-party contractors have submitted their child protection documentation and police checks on file and uploaded to RIVO accordingly
  • Maintain a record and periodic validation of documents for Third Party
  • Support the Operations Manager in liaising and coordinating of third-party personnel, ensuring all ancillary services are efficient and effective.

 

Health and Safety

 

  • Take overall responsibility for health and safety within the school which includes applying, monitoring, updating the School Health and Safety policy.
  • Provide updates and accurate guidelines on any changes or new rulings regarding health and safety standards set out for schools by HAAD or Ministry of Education keeping the relevant school departments and senior leadership team abreast of the change.
  • Liaise directly with relevant external agencies to ensure compliance with ADEK, HAAD, and NAE standards and regulations.
  • Support the HR/Facilities team with the on boarding and induction process for new employees in relation to health and safety.
  • Manage both routine and new health and safety related training activities for all employees.
  • Plan and run monthly and termly health and safety meetings, leading the agenda and ensuring minutes are distributed.
  • Collate all accident and Incident reports and highlight areas of concerns to Head of Primary, Head of Secondary and Head of Foundation Stage
  • To draw up a health and safety inspection schedule including inspection targets, responsible members of staff and inspection criteria.
  • Liaise regularly with the School clinic and Science Laboratory team and be familiar with the hazardous and toxic materials used in the school and to ensure their safe handling, storage and disposal according to the guidelines provided by the local authorities.
  • Coordinate with waste management service provider for School waste weekly collection

 

Supporting Inspections

 

  • Assist inspectors from different governing bodies such as ADEK, DoT, Civil Defence etc, during school inspections, ensuring that all specific standards required for the school’s health and safety are being achieved and maintained
  • Support Operations Manager in following up on and resolving any issues arising from inspections.

 

Administration

 

  • Assist the Operations Manager on day-to-day administrative and School operational function and provide support as required
  • Operate and monitor CCTVs ensuring confidentiality of information at all times
  • Manage the photography sessions within the whole school and in coordination with the photography service provider
  • Support Operations Manager administratively in maintaining multi-disciplinary teams of maintenance, facilities, security, cleaning, catering etc. and report any operational services concerns and implications
  • Liaise with data management company to ensure the secure handling and storage of data and documentation.
