Responsible for various administrative tasks, greeting visitors and answering telephones. Assisting various departments in travel arrangement, meeting arrangement and other requirements as needed.

Principle Responsibilities and Duties

Greet company visitors with positive attitude, ensure they are signed in and directed to where they need to be

Manage employee travel including booking flights, car rental and hotels. Additionally, coordinate with colleagues in other EMEA entities when hotel and transportation is required for travelling employees

Draft, stamp, and send  company letters as required and ensure Letter’s Log is updated and accurate

Work with company celebration committee and ensure event location and material’s required are arranged accordingly

Track office supplies and other office materials and ensure stock availability at all times 

Ensure legal documents, entities/branches licenses and their related documents are organized, tracked and updated in addition to handling the entities/branches online Portal 

Schedule pest control, maintenance schedules and collection of recyclable waste by third party

Manage Emails (RFQ, ITT, EOI, and vendor invoices) and send relevant emails to the appropriate department/person-in-charge

Ensure required business cards and name plates are request and issued 

Qualifications

Minimum High School diploma or equivalent required; some college experience preferred

Minimum 3 years of relevant experience

Intermediate skill level for Microsoft office products

Fluent in English command (written and spoken)

Ability to multi-task, prioritize, takes initiative, able to work under stress and work efficiently

Strong interpersonal, communication and Organizational skills. Positive attitude with high integrity

Physical Requirements

Office base environment. Flexibility is required.
